Leave Rules: Faculty, Technical Staff & Non-Teaching Staff

Vidya Siri College of Pharmacy, renowned as one of the best pharmacy colleges, has established the following leave rules to ensure the effective and efficient operation of the college:

Duty Hours:

As of now, the duty hours for employees at Vidya Siri College of Pharmacy are as follows:

Duty Hours for Teaching Staff:

Monday to Friday: 9:00 am to 4:30 pm

Saturday (1st and 3rd of every month): Holiday

Duty Hours for Technical Staff:

Monday to Friday: 8:30 am to 4:30 pm

Saturday (1st and 3rd of every month): Holiday

Duty Hours for Non-Teaching (Office) Staff:

Monday to Friday: 8:30 am to 4:30 pm

Saturday: Full working day

Please note that these duty hours are subject to change, and any updates or modifications will be communicated by the Management/Principal.

Attendance Muster/ERP Biometric:

Employees at Vidya Siri College of Pharmacy must sign the attendance muster/ERP biometric to record their daily “IN” and “OUT” times. In case they forget to do so, they must regularize it on the same day or the following working day by submitting an authorized letter to the Office/HR section.

General Working Conditions:

Vidya Siri College of Pharmacy has implemented general working conditions for efficient and effective operation of the college. All employees must adhere to the duty hours and attendance muster/ERP biometric guidelines in order to ensure a smooth working environment.

Employees must be punctual and arrive on time for their shifts. Those who are late for more than 15 minutes on more than 3 occasions in a month will lose one day of casual leave, increasing for each subsequent 3 occasions. If an employee is late for more than one hour (60 minutes), they will lose half day’s casual leave. Habitual lateness is considered a misconduct and liable for disciplinary action. However, the Management/Principal may excuse lateness due to disruptions/delays in public transport, heavy rains, bandh, etc. Employees may also seek prior permission from the Competent Authority to report late or leave early for genuine reasons. Subsequently, late coming must be regularized by submitting a written note with sanction to the attendance section.

Attendance and punctuality are mandatory for all employees of the college. All employees must adhere to the duty hours and attendance muster/ERP biometric guidelines provided by the college. Disciplinary Action:

Disciplinary action may be taken against employees who are found to be in violation of the college rules and regulations. Habitual lateness and attendance issues are considered a misconduct and liable for disciplinary action. The college reserves the right to take appropriate disciplinary action against employees who are found to be in violation of the college regulations.

 

KINDS OF LEAVES ADMISSIBLE TO FACULTY & TECHNICAL STAFF:

The following kinds of leaves are admissible:

CASUAL LEAVE:

  • Casual Leave is intended for urgent, personal requirements or circumstances.
  • The maximum number of Casual Leave days per year is 12, at the rate of 1 per month.
  • Casual Leave should not be combined with other leaves, unless combined with holidays and Sundays.
  • The employee must submit their application for Casual Leave at least three days in advance, unless it is an emergency situation approved by the Principal/Management.
  • All Casual Leaves will expire at the end of the academic year.
  • After one year of service, the employee is eligible for accumulation of casual leaves. Maximum of 3 days casual leave can be availed together.

PRIVILEGE LEAVE:

2.1 Privilege Leave admissible to faculty and technical staff is 6 days per academic year.

2.2 Privilege Leave cannot be availed until one year of service has been completed.

2.3 All Privilege Leaves must be taken in a stretch.

2.4 The employee must submit their application for Privilege Leave at least 15 days in advance, and will only proceed on leave after it has been sanctioned. The employee must provide their outstation address and contact numbers in the application, and must hand over their duties to another employee nominated by the Head of Department/Principal.

2.5 Privilege Leave cannot be combined with Casual Leave.

2.6 Sundays, holidays, and off days falling in between will be counted as a part of the Privilege Leave.

2.7 All Privilege Leaves will expire at the end of the academic year.

MEDICAL/SICK LEAVE:

3.1 An employee shall be eligible for Medical Leave in special situations, such as serious injury or illness that requires bed rest. For short illnesses, Medical Leave will not be permissible, and the decision of the Competent Authority will be final.

3.2 An employee will be eligible for 6 days of Medical Leave with full pay per academic year, based on a medical certificate from the District Hospital or a famous private hospital. Unused Medical Leaves can be accumulated for up to 3 years, for a maximum of 15 days.

3.3 The employee must submit a fitness certificate when they resume their duties.

3.4 Sundays, holidays, and off days falling in between will be counted as a part of the Medical Leave.

MATERNITY LEAVE:

4.1 Maternity Leave is admissible to female employees who have completed one year of service in the Institute.

4.2 A female employee will be eligible for 3 months of Maternity Leave with full pay in case of delivery.

4.3 The female employee must submit a satisfactory medical certificate of their fitness from the concerned hospital or a registered medical practitioner when they resume their duties.

4.4 The female employee must sign a bond certificate to serve the Institute for at least 01 year after availing of such leave.

4.5 The employee will be paid 1.5 months’ pay after 6 months of resuming their duty, and another 1.5 months’ pay after 01 year from the date of resuming duty.

4.6 The employee who have completed one year of service in the Institute will be entitled for paternity leave of 06 days

VACATION:

5.1 Faculty and technical staff will be entitled to a total of 15 days of vacation in 2 slots each year during the summer or winter (who have completed one year of service in the Institute.)

5.2 To avail the full summer or winter vacations, the employee must have completed at least one year of service in the Institute. This will be counted from July to June for vacation entitlement.

5.3 Sundays, holidays, and off days falling in between will be counted as part of the Vacation Leave.

5.4 Availing Vacation is not a right of the faculty member/teaching support staff. The Head of Department can recommend the detention of any faculty member/teaching support staff, and the Competent Authority can cancel part or all of the Vacation, already sanctioned, in the interest of the college.

5.6 All faculty members/teaching support staff in a department will not be allowed to avail Vacation during the same period. The Head of Department will recommend the period of Vacation to faculty members/teaching support staff in batches such that during Vacation, adequate faculty members/teaching support staff will always be available for College/Department work, such as Time-Table preparation, Lab Development work, ISO/NBA preparation, etc.

OD/ DL:

6.1 OD (Official Duty): An employee who has gone for official work, assigned by the Principal/Management in the interest of the Institute, will be treated as on official duty.

6.2 DL (Duty Leave): Duty Leave may be granted to the Teaching Faculty for attending one conference/seminar/workshop in an academic year; delivering lectures at other Colleges or Universities on invitation; taking M.Pharm classes of the University at other college; and conducting Examination of M.Pharm/Ph.D. dissertation of other Universities/institutions. Duty Leaves will be granted subject to the condition that the academic program of the college is not adversely affected by the absence of the concerned person. The forwarding authority must ensure alternative arrangements have been made before forwarding the leave application.

STUDY LEAVE:

7.1 A request from a faculty member may be considered for Study Leave to pursue a part-time P.G./Ph.D. program.

7.2 The faculty member must sign a bond on a Rs. 100 non-judicial stamp paper to serve the College for at least 3 years to avail Study Leave for a regular/part-time Ph.D. program, and 2 years for a regular/part-time PG program after availing the Study Leave.

7.3 The faculty member must send an application for admission to higher studies, duly ecommended by the Head of Department and forwarded by the Principal to the University/College where they want to be an applicant. On receiving acceptance, they must submit an application for Study Leave along with the relevant documents of admission/sponsorship undertaking on the bond-paper.

COMPENSATORY LEAVE:

8.1 Ordinarily, no compensatory leave will be generated for routine work. However, in the case of emergent issues/reasons decided by the Competent Authority, compensatory leave may be generated.

SHORT LEAVE/GRACE PERIOD:

9.1 Short Leave of 1.5 hours per month and 5 times of 10 minutes grace period per month may be allowed.

LEAVE WITHOUT PAY:

10.1 If an employee requests for leave which is not due or is not approved, it will be considered as Leave Without Pay.

10.2 If the employer finds that the employee is absenting themselves to avoid their assigned duties or they have a habit of being absent without due leave sanction, they may face disciplinary action.

10.3 Leave without Pay will be deducted from the employee’s leave account.

  1. 4 Leave without Pay must not exceed 12 days in a year.
